1. Introduction

LinguaLive is operated by RIALD ("we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our real-time voice translation platform accessible at translate3.riald.info and any associated services (collectively, "the Service"). By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your email address, display name, and organization name. If you sign in through a third-party authentication provider, we receive basic profile information as authorized by that provider.

2.2 Audio Data

When you use the microphone feature, audio is captured on your device, processed through client-side voice activity detection (VAD), and sent to our servers for transcription. Audio data is processed in real time by our speech-to-text service and is not permanently stored on our servers. Audio buffers are held in memory only for the duration required to produce a transcription and are discarded immediately afterward.

2.3 Transcriptions and Translations

The text output of speech-to-text transcription and subsequent translations into other languages are stored in our database (Firebase Firestore) to display conversation history within rooms. These are retained according to your organization's plan-specific retention policy (see Section 5).

2.4 Usage Data

We collect operational data necessary to provide and bill for the Service, including API call counts, timestamps of activity, room participation records, and feature usage metrics. This data is used for billing, capacity planning, and service improvement.

2.5 Device and Browser Information

We collect certain technical information automatically, including browser type and version, device type, and operating system. This information is necessary for the proper functioning of real-time audio features (WebRTC, microphone access) and for diagnosing compatibility issues. We do not use this information for tracking or advertising purposes.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the Service: Processing audio for transcription, generating translations, managing rooms, and delivering real-time conversation features.
  • Billing and Account Management: Processing payments, managing subscriptions, tracking usage against plan limits, and sending billing-related communications.
  • Service Improvement: Analyzing aggregate usage patterns to improve performance, reliability, and accuracy of transcription and translation features.
  • Security and Fraud Prevention: Detecting and preventing abuse, unauthorized access, and other security threats.
  • Communications: Sending service-related notices, updates, and responses to your inquiries. We do not send marketing emails unless you explicitly opt in.

4. Third-Party Services

We use the following third-party services to operate the platform. Each processes data in accordance with their own privacy policies:

  • Google Cloud Speech-to-Text: Audio data is sent to Google Cloud for transcription. Audio is processed in real time and is not retained by Google after processing. See the Google Cloud data processing terms.
  • Google Cloud Vertex AI / Gemini: Transcribed text is sent to Google's AI models for translation and, when enabled, text-to-speech synthesis. Text inputs are processed per request and are not used to train Google's models when accessed through Vertex AI.
  • Firebase (Google): We use Firebase for user authentication (including anonymous authentication), real-time database operations (Firestore), and web hosting. User account data and conversation data are stored in Firebase Firestore. See the Firebase Privacy and Security documentation.
  • Stripe: Payment information (credit card numbers, billing addresses) is collected and processed directly by Stripe. We do not store your full credit card number on our servers. See Stripe's Privacy Policy.

5. Data Retention

Transcription and translation data is retained based on your organization's subscription plan:

After the retention period expires, transcription and translation data is automatically and permanently deleted. Account information (email, name, organization) is retained for as long as your account is active. Upon account deletion, all associated data is removed within 30 days.

Audio data is never permanently stored. It exists only in server memory during the brief transcription processing window and is discarded immediately upon completion.

6. Data Security

We take reasonable technical and organizational measures to protect your information. These measures include:

  • All data transmitted between your browser and our servers is encrypted in transit using TLS (HTTPS).
  • Database access is governed by Firebase Security Rules that enforce per-user and per-organization access controls.
  • Server-side operations use the Firebase Admin SDK with service-account credentials that are never exposed to clients.
  • Authentication tokens are short-lived and automatically refreshed to minimize the impact of token compromise.
  • Payment data is handled exclusively by Stripe and is PCI DSS compliant.

While we strive to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

7. Your Rights

If you are located in the European Economic Area (EEA), United Kingdom, or other jurisdictions with applicable data protection laws, you have the following rights regarding your personal data:

  • Right to Access: You may request a copy of the personal data we hold about you.
  • Right to Deletion: You may request that we delete your personal data. We will comply unless we have a legal obligation to retain it.
  • Right to Data Portability: You may request your data in a structured, commonly used, and machine-readable format.
  • Right to Restrict Processing: You may request that we limit the processing of your personal data under certain circumstances.
  • Right to Rectification: You may request correction of inaccurate or incomplete personal data.
  • Right to Object: You may object to the processing of your personal data where we rely on legitimate interests as the legal basis.

8. Children's Privacy

The Service is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal data from a child under 13, we will take steps to delete that information promptly. 9. International Data Transfers

Your information may be transferred to and processed in countries other than the country in which you reside. Our servers and third-party service providers (including Google Cloud and Firebase) operate primarily in the United States and other Google Cloud regions worldwide. These countries may have data protection laws that differ from those in your jurisdiction. By using the Service, you consent to the transfer of your information to the United States and other countries where our service providers operate. We ensure that appropriate safeguards are in place, including standard contractual clauses where required, to protect your data in accordance with applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last updated" date at the top of this page and, where practicable, notify you via email or through a prominent notice within the Service. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy. We encourage you to review this Privacy Policy periodically.
